The Web App's Admin module includes the ability to Gather Emails or Email-to-Text Phone Numbers. The results are returned and a button provided to copy the results to a clipboard. The results can then be pasted into the Bcc field of an email client.


1. Set the Filters for the selection criteria:

    Status

    Role Type

    Grade

    Club Name

    Location

    Leader Name

    Team Color

    Team Name

    Gender

    Flag

    Code


2. Choose the Email options:

    

[ ] For Leaders, include Household email/phone - when the role type filter includes Leaders, the primary email/phone associated to the leader will always be included. When this box is checked, any email/phone associated with the selected leader's household will also be included.


For Clubbers, include emails/phones from - when the role type filter includes Clubbers, select which type/s of contact information to include for the selected clubbers:


Clubber - the clubber's email/phone

Household - a shared phone or email associated with the household, not with any individual person


Emails/phones for the following are included based on a matching Contact Type of a person in the selected clubber's household: 


Parent

Other

Non-Parent Pickup

Head of Household

Emergency


[ ] Include Only Primary Contact for Clubber household - this returns only the phone/email for the person designated as Primary Contact for a selected clubber's household. This is usually one parent. Another parent or other contact type not designated as the Primary Contact will NOT be included when this is selected.


Choose to gather either Email Addresses or Email-to-Text Phone Numbers (a phone number with 'ok to text' marked as true along with a Carrier).


Add a newline after groups of 25 - this allows copying email addresses in smaller batches.


Select the Email Separator to used based on the email client settings - Comma (,) or Semi-colon (;)



There is also an option to use the Windows App to get email addresses. Select Tools > Gather E-mail Addresses and Textable Phone Numbers. The dialog has similar selections to the Web App, but the logic has been improved in the Web App, so results may differ. The Windows App includes an option to handle Legacy contact records.


In the Windows App, the Clubber or Leader grids can also be used to select members, then right-click to copy the member's linked email/textable phone or the household's primary email/ textable phone for selected members.


Note: AWdb tracks phone and email addresses for each person. If a person has more than one phone or email record, one can be indicated as primary. There is also a primary contact person within a household. That person's phone and email are used as the primary household phone and email address. The primary phone and email for a person is shown within the Clubber and Leader grids by making the Member Detail's Linked Email and Linked Phone columns visible. Information for the household can be shown within the Clubber and Leader grids by making the Household Info's Primary Phone and Primary Email columns visible.
