Note: in version 25.1.1 the Online Registration module was renamed to Registration.


This page handles importing registration data from a CSV into the database. The imported registration data will be shown within the Registration > Pending page.


IMPORTANT: All imported registrations need to be accepted in the same way as a registration completed through the Online Registration Site.


To Import Registration Data from CSV, complete the following steps:


Upload a CSV File (Step 1)

  • Print Mapping Report - click the button to print a report with details about what fields can be mapped along with the Data Type, Field Size, and Notes about specific requirements and limitations.

TIP: Provide this information to the person creating the form to gather registration information or exporting the data to the CSV file.

  • Select CSV File - click the button to open the file manager and select the file to use. A preview of the file will be shown.
  • Use the Next Step button to continue to Step 2.


Map CSV columns to AWdb Fields (Steps 2 - 4)

  • For a given AWdb field, use the drop-down selection to select the corresponding column from the CSV file that should be mapped to the field.
  • Hover the mouse over the Informationbutton next to each field to see details about the mapping requirements.
  • A list of Unused CSV Headers is provided on the right.
  • Required Fields are indicated. 
  • Step 2 maps Member columns

Note: Birth Date, First Name, Gender, and Last Name are required

  • Step 3 maps Household columns

Note: There are no required fields, but address line 1, city, state and postal code are highly recommended to allow correctly grouping members into households.

  • Step 4 maps Contact columns

Note: Parent (and Emergency Contact) First and Last name fields must be included to be able to import cell phone/email information for the contact.

  • Use the Next/Previous Step buttons to move between pages.


Review Mappings and Submit (Step 5)

  • Select the default setting for fields that were not mapped or are blank: Role Type. This defaults to Clubber indicating members imported without a role type are assumed to be clubbers. Leader may also be selected.
  • A summary of the mapped fields for each section is provided.
  • A Field Mapping Report can be printed that includes the selected mappings.
  • Use the Previous Step button to return to the prior page.
  • After reviewing all the information, click the Submit button.


Import Results


Records will be listed for the following situations:

  • Imported Entries - new records that were imported into Pending Registrations.
  • Updated Entries - existing records in Pending or Waitlist Registrations (from a previous import) that were updated.
  • Skipped Entries - existing records in Accepted Registrations (from a previous import) that were skipped.

Other information will be provided, such as:

  • Errors, invalid entries, or items that prevented the import of a record.
  • New values that were added to specific field selection options (such as Church Name or School)
