This article is a more in depth look at the Pending Page details section and answers the following questions:

  • What is displayed in the details section?
  • How is data processed when a registration is accepted?
  • How are the "Keep Existing" options used?


What is displayed in the details section?

  1. The left side of the details page shows the data as it was entered into the Online Registration form. Only fields that have data are shown. 

    Example: if the "Church Name" field was included on the registration form, but a parent did NOT enter information, that field will NOT be shown in the registration data section. When a parent DID enter information, the data will be shown. The field will be shown on the edit page.

  2. For a matched clubber, "Keep Existing" Information is shown on the right side of the details page. For each field, options will be shown ONLY when there is registration data that is different from the existing data. The option will NOT be shown when there is data for one but not the other, or when the data matches.

How is data processed when a registration is accepted?


  1. If there IS registration data, but there is no existing data, the registration data is added to the record.

  2. If there is NO registration data, but there is existing data, the existing data is kept.

    Example: for Church Name, if no data was entered by the parent, but there is a Church Name already in the database, the existing data will NOT be cleared.

    Tips: Setting fields as required in the registration form can help avoid missing data for important fields. Fields that should not have data carried over from a prior year can be cleared before registrations are accepted. For assistance with this, please contact customer support.

  3. If there IS both registration data and existing data, the default process uses the registration data to update the existing record. It is in these cases where they don't match that the existing data is shown for comparison and includes an option to keep it instead.

How are the "Keep Existing" options used?


There are two ways to use the "Keep Existing" checkboxes. When one or more "Keep Existing" boxes are checked:

  1. Edit the registration. The corresponding field(s) are populated on the edit page with the existing data instead of the registration data.
    1. To change and NOT use the existing data, click the X button to cancel the edit and then clear the check box on the Pending page.

    2. To keep the change, save the record by clicking the checkmark button. The changes are made to the registration record and shown on the Pending page. Once the record is saved with the edits, there is NOT an option to go back to the original registration data. IMPORTANT: If you are uncertain about which data to use, review the options carefully, one field at a time, before saving a change. When the registration is accepted, the updated registration data will be used.

  2. Accept the registration. The original registration data will show with a strike-through to indicate it will not be used. Instead, the existing data will be kept. This is fine to use when confident the existing data is preferred and doesn't need to be reviewed.
