Old (Legacy) contact records need to be converted to the newer contact format. (See this FAQ for more details.)


We have provided a conversion utility that will streamline the process. If Legacy contacts exist for a household, the Convert Legacy Contacts button will be shown on the Member > Personal page and the Household > Info page. Click the button to open the Contact Conversion Utility.


Each Legacy Contact record will be shown with the following information displayed for reference:

  • Contact Name (Relationship), Communication Type


If the contact info is no longer needed, tap/click thebutton to remove it. (This may be needed if there were multiple records for Mom's cell phone that were each linked to a different clubber. Only one needs to be converted.)


To keep the contact info, complete the fields as follows:


Contact Name: 

  • if the person is already in the database as a member of this household (like a leader who is also a parent) - select the person in the 'Contact Name' dropdown list of all household members/contacts.
  • if the person is NOT already in the database (like a parent who is not a leader) - tap/clickAdd New Contact. You will need to provide a minimal amount of data, such as Name, Gender, Contact Type and Relationship. When the person is added, the name will show in the Contact Name field.
  • if the person is already in the database, but as a member/contact in another household (like a leader who will be an emergency contact for this household) - tap/clickAdd Contact from Another Household. Select the person from the 'Contact Name' dropdown list of all members/contacts and complete the Contact Type and Relationship for the person to THIS household. When the person is added, the name will show in the Contact Name field.
  • for a Home Phone or a shared email address, select 'Household'.

Communication Type, Phone number (along with OK to text and Carrier), Email address:

  • populated based on the existing record
  • Note: some existing values for communication type may be invalid (i.e. 'Emergency' which is now a Household Contact Type). Select a new value from the dropdown list.


To exit the dialog without making changes, tap/click the Cancel button.


When all the records have been updated, tap/click the Save button. (The button will not be enabled until all required fields have been completed for all records.)


Once the records are converted, each person will be listed by Contact Type under the Household Info section along with any phone/email records belonging to the person.


Windows App Conversion option: the conversion utility in the Windows App is slightly different and allows converting one record at a time. For additional information about that process, see this forum post.
