The Approved Workman Cloud database has the ability to collect and track custom information during the Check-in process (i.e. items not already included in the database). This can be useful for tracking information that is unique to your club. Custom check-in fields will be stored by club year, so fields can be updated for each club year without losing historical data.
The custom fields are managed within the Club module. Under Setup, select the Custom Check-in Fields page. If there are custom fields found during the New Year is setup process, a page will be provided for updates to the custom check-in fields for the new club year.
To create a new custom check-in field for the current club year, tap/click the Add field button
to open the Custom Check-in Field dialog. Complete the following information:
- Field (required) - create a name for the custom field that describes the purpose.
- Type (required) - select from the dropdown list: Numeric, Text Field, Checkbox, Dropdown, Text Area
- Description - provide an explanation for how the field will be used.
- Logical Order - use to indicate the order the custom fields should be displayed.
Handle points for the custom fields under Club > Setup > Points.
Once the fields are setup, they will be available for data entry on the Members > Check-in page.
To make changes to a field, select the field and tap/click the Edit button
.
Tap/click the Delete button
to remove a custom field.
WARNING: Do not delete a custom field that has related member data. If you no longer want to track the information, the field can be hidden using the Members > Check-in Display options. Then, remove the field during the new year setup process for the next club year. This will maintain the collected data but not continue to use the field in the new year.
Tap/click the Print button
to print the details of the Custom Check-in fields.
